Vendor FAQs


How do I register as a Vendor?

First, create a customer account.

  • Click on the LOGIN icon at the top of the page.
  • Fill out the Account and Profile Details.
  • Go to your email and confirm/activate your account.
  • Login with your username and password.

After, that open your dashboard by clicking on the login icon in the top right of the page.


All customers are automatically approved.

How do I make changes to my Vendor account?

Through the Vendor Dashboard.


Does Patchwork have an affiliate program?

Not at this time. If you are interest in an affiliate program, contact us.

I live outside the US. Can I still sell on Patchwork?

You do not have to live in the U.S. to sell on the Patchwork Marketplace.

Make sure you’re following your local tax laws, etc.

Many Patchwork Marketplace users are English speakers, so many of the resources you’ll see posted are in English, but you’re more than welcome to post resources in any language.

We use PayPal to deliver your earnings, so you’ll want to set up a PayPal account and ensure that PayPal services in your country are enabled for receiving payments. Visit PayPal Worldwide to see if your country is included in their network for receiving payments and to sign up for an account.


What can I sell on Patchwork?

All items must be downloadable (PDFs, Word docs, Excel spreadsheets, Photoshop files, etc.) If you would like to sell a video, it must be hosted somewhere else. You can sell access to the video here. Videos take up to much space to be hosted by us.

No physical products can be sold on Patchwork, though this is something we are considering. If you are interested in selling a physical product, contact us.

What is permitted to be sold on Patchwork?

  • Items that infringe on copyrights or trademarks – Resources that aren’t the original authorship of the seller (your work must be your own, unless you’ve gotten permission).
  • Items requiring additional steps for Buyers to access their purchase – All digital resources should be accessible and downloadable directly from the Patchwork website with the exception of videos. Videos sales can be links to wherever they are hosted. We do allow hosting videos directly on Patchwork.
  • Items that direct buyers to another online retailer.
  • Items that aren’t resources for camp or recreation professionals.
  • Physical Products – Everything must be downloadable. This may change if we see interest in selling physical products.

How do I add products to my store?

What if I can't upload a file?

If you’re unable to successfully upload a resource file, it’s likely due to one of these issues:

  • File size is too large.
  • Your internet browser isn’t up-to-date.
  • Your organization has placed restrictions on your work computer – if you’re trying to upload resources from work, or on a work device, either switch to a personal device or speak to your IT Team about adjusting restrictions.

What should I do if my resources contains more than one file?

Unlike with the previous Patchwork Marketplace site where you were only able to upload one file per product listing, now you can add multiple files.

However, if you have a lot of files, like individual printables, we suggest your create a ZIP file with all of them in one folder.


Start by creating a folder on your computer, and adding all the files associated with your resource to that folder.

For Mac users, right click on the folder and click on Compress “name of folder”. This will create the ZIP file.

For PC users, right click on the folder and choose “Send to”, then click on “Compressed (zipped) folder”. This will create the ZIP file.

Upload the ZIP file to your product page on Patchwork.

Can Patchwork remove a comment or rating left by a buyer?

Patchwork Marketplace encourages buyers to leave ratings and feedback for resources they have purchased, but sometimes authors may feel that a low rating or negative feedback is unjust or unfair.

It’s important to allow all ratings and feedback to be available. If only 5 star ratings were allowed, that would defeat the whole reason for having the rating system. That being said, there are a few reasons to cause Patchwork Marketplace admins to delete ratings and feedback.

  • If the feedback includes foul language or is found to be abusive.
  • If the buyer has technical issues and is unable to actually view or use the resource.
  • If the feedback has nothing to do with the product and is only an advertisement for something else.

If none of these reasons apply, we must let the rating and feedback stay.

What size should product images be?

Images should be square. Keep them at 72 or 96 dpi. The size should be between 500×500 and 800×800. This is large enough to look good on the site. Anything large is a waste of our hosting resources and may be deleted.

How much should I charge for my resource?

There are a lot of factors that go into this including the size of the file, the type of file (i.e. Word doc vs multi-layer Photoshop template), etc.

A basic guideline for PDFs and Word documents is 10¢-25¢ per page. The lowest amount you may charge for a resource on Patchwork is $2.00, unless it’s free.

Why do you offer a 60-Day Money Back Guarantee?

Buying a digital item online without being able to view it first can be a gamble. We want to take the risk out of it. Customers are much more likely to make a purchase if they know they can get their money back if the resource is not what they expected or up to par.

Any vendor who is proud of the resources they offer should not be worried about this refund policy. While a customer here or there may ask for a refund, it will not equal the number of customers who made a purchase because of the money back guarantee.

Also, a refund policy like this usually encourages vendors to put a little extra work into the details of what they are selling. The better the quality of resources on Patchwork, the more customers we will have, and that is good for all the vendors.

Should I charge sales tax?

Vendors do not need to collect sales tax. Patchwork will take care of that.

Patchwork currently pays sales tax on purchases made from customers in Florida as that is where we are based. We have yet to add that tax on to the total of the purchases.

As the laws change, we may begin charging sales tax for certain US states. We will let all vendors know about this if and when it happens.


Can I place a resource on sale?

Yes. Go to your Vendor Dashboard. Go to the product page. Under the price of the product you can add a sale price.

Potential customers will see the regular price crossed out along with the sale price.

If you place any items on sale, let us know, and we will let our email list know and add it to the home page.

How can I promote my store?

Go to your store and copy the URL. For example, it would look like this,, with your public name in place of ‘your-name’.

You can post your store url wherever you like (emails, Facebook, Twitter, etc.). It will take visitors directly to your store page.


What do I do if a customer is unhappy?

Our advice is to address any issues as quickly as possible.

One of the wonderful things about selling through Patchwork Marketplace is that it’s an opportunity for you to build your brand. One way to build a successful brand is to address concerns in an honest and helpful way.

As part of that branding, you will most likely want to stand by your product and offer a refund if there was a problem with the product. To do that, please contact us and let us know:

  • The customer’s name
  • The resource you’d like to refund
  • Why you’d like to offer a refund

We will issue the refund on your behalf.

How do I contact a customer?

Go to your Vendor Dashboard.

Go to Orders.

From there you can view customer orders along with their names and emails.


When do I get paid?

Patchwork Marketplace makes royalty payments via PayPal monthly (by the 10th of each month) for Vendors in the US.

For Vendors outside of the US, payments are made quarterly due to the extra fees to send funds internationally. Fees that we absorb. If you live outside of the US and want to be paid sooner, we can do that, but we will subtract the PayPal international fee ($2.99 US) from your payout.

Make sure you have a PayPal account and that we have the email address associated with that account. Your PayPal email can be added to your profile at any time. You can make changes to your Profile account via your Vendor dashboard.
